Timelines & Deadlines

Important Registration Dates:

  • Early Registration discount ends January 20
  • ASA or NCGA banquet tickets guaranteed through January 20
  • Registration refunds must be requested in writing by February 10
  • Tour preregistration deadline is February 15
  • No tour refunds after February 15
  • Convention preregistration deadline is February 15
  • Convention on-site registration begins February 29
    (based on availability)

 

Important Housing Dates:

  • Hotel group rates guaranteed through January 26
  • Reservations after January 26 are based on availability
  • Hotel changes and cancellations must be made through housing bureau by January 26
  • Hotel changes and cancellations must be made directly with hotel property after January 30*

 

*Please note that transferring the reservation information from the housing bureau to the hotel system will take a few days. Rest assured, the hotel will honor the booking with a confirmation number from Experient. Commodity Classic registration and housing operate on a first-come, first-served basis.

 

Changes, Cancellations and Cutoff Date

Reservations received after January 26 will be accepted on a space-available basis and may be at the hotel’s prevailing rate.

 

Changes and cancellations made by January 26 should be made through Experient. Please note that between January 27-30, Experient will transfer all reservation information to hotels.

 

After January 30, changes, cancellations and requests for new reservations should be made directly with your hotel.

 

Cancellation Policy

  • Room must be cancelled 72 hours prior to arrival to avoid forfeiture of deposit.
  • Guests must inform the hotel front desk upon arrival if departure date has changed to avoid possible early departure fee.
  • Cancellation policy applies to all reservations.
